Job Description

About the Role

Join our team as a Service Administrator supporting our Atlas Copco brand. In this fast-paced and customer-focused environment, you’ll ensure all service-related documentation is completed accurately, efficiently, and in line with our standards.

Key Responsibilities

  • Support the Service Manager and Service Supervisor by handling customer calls, asking the right questions to enable accurate and timely responses

  • Submit all warranty repair orders within 14 days of job completion

  • Manage the full invoice-processing workflow, including opening and closing service jobs

  • Raise and process Purchase Orders, ensuring timely approval for payment

  • Prepare customer quotes using the Reynolds & Reynolds system

  • Liaise with sublet contractors to coordinate work and confirm service details

  • Allocate technicians’ hours to repair orders accurately

  • Complete weekly timesheets and maintain organised, up-to-date filing

  • Proactively identify and recommend process improvements

  • Ensure all tasks comply with relevant OH&S requirements

What You’ll Bring

  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

  • Demonstrated experience providing administration support within a mechanical or technical service department

  • Confident communication skills with the ability to liaise effectively with internal teams and suppliers

  • Experience using the Reynolds & Reynolds system (highly regarded)

  • Ability to generate service reports and interpret system data

  • Commitment to following company policies and working to high accuracy standards
