Job Description

About the Role:
CEA is seeking a highly organised and proactive Service Administrator to join our team. In this role, you’ll provide critical administrative support to our Service Department, ensuring all service-related documentation is completed accurately and efficiently, and provide excellent customer service. 

Key Responsibilities:

  • Support the Service Manager and Service Supervisor by handling customer enquiries and asking relevant questions to facilitate timely responses.

  • Submit all warranty repair orders within 14 days of job completion.

  • Process invoices, including job opening and closure in a timely and accurate manner.

  • Create and manage purchase orders, input them into the system, and authorise payments.

  • Generate service quotes using the Reynolds and Reynolds system.

  • Liaise with sublet contractors to coordinate services and manage documentation.

  • Allocate technician hours to appropriate repair orders.

  • Process all purchase orders promptly to maintain workflow efficiency.

  • Complete and submit weekly timesheets.

  • Maintain accurate filing of all paperwork and service documents.

  • Recommend and implement process improvements where appropriate.

  • Ensure compliance with all relevant WHS regulations.

About You:

  • Demonstrated proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

  • Previous experience in an administrative role. Within a mechanical or service-related environment is desirable.

  • Strong communication skills with the ability to liaise effectively with internal teams, customers, and suppliers.

  • Experience using the Reynolds and Reynolds system (desirable).

  • Ability to generate and interpret service reports.

  • Excellent attention to detail and commitment to following company procedures and policies.
